What this feature does
A document model tells Smartflow which fields to extract from a document and how those fields should be reviewed.
Before you start
- You have Admin access.
- You know the document type you want to configure.
- You have a sample document that represents normal usage.
- You know which fields your team must review before approval.
Steps
- Open the configuration area.
- Select Document Models.
- Select Create model.
- Enter a clear model name.
- Choose the document type.
- Add each field your team needs to extract.
- Set the expected field type, such as date, amount, party, or text.
- Add review guidance for fields that need careful validation.
- Mark critical fields that must be checked before approval.
- Save the model as a draft.
- Test the model on a sample document.
- Review extracted fields and source evidence.
- Adjust fields or guidance if the review result is unclear.
- Publish the model when it is ready for workflow use.
Tips
- Keep field names familiar to the operations team.
- Start with fields required for onboarding before adding lower-priority fields.
- Use one model per document type when review expectations differ.
- Archive old models instead of deleting them when they have been used in past work.
Troubleshooting
- A field is missing from review -> Check whether it was added to the model and included in the workflow.
- A field extracts the wrong value -> Add clearer review guidance and test again.
- Users cannot select the model -> Check whether the model is still in draft.
- A published model needs changes -> Create an updated version and test it before using it in production workflows.
